Abstract
Every company handling letter management needs to follow certain procedures to oversee the management of outgoing mail. This procedure is called the procedure of recording and distribution of letters. In small or medium-sized offices that are generally private companies, their mail management procedures are still manual or simple. On the other hand, a good company of mail management needs to follow certain procedures to oversee the management of outgoing mail. Good letters management aims to prevent letters from being lost, to prevent delayed distribution, to prevent leakage of letter information that can cause harm to the company and to easily find a letter if at any time the letter is needed again. The formulation of the problem in this research, that is how the procedure of outgoing mail management and what are the obstacles in execution procedure of outgoing mail management. The purpose of research conducted by the writer is to find out how the Outbound Management Procedure At Office PT. Pelabuhan Indonesia III (Persero) Branch Tanjung Emas Semarang. This research method using descriptive-qualitative approach, research done by interview, observation and documentation. The result of this research is the procedure of outgoing mail management at PT. Pelabuhan Indonesia III (Persero) Tanjung Emas Semarang Branch includes the drafting of letters, approval of concepts, recording or numbering of letters, typing the concept into a letter, signing the letter, sending mail and storing mail. Obstacles in the management of letters are the staff of staff lacking the correct spelling of the Indonesian language, the approval of the concept of the letter of management is not in place because of the task so that the completion of the late mail, in recording and numbering incorrectly entered the code letter in the control card, computer and printer often used damaged ( does not work). In sending letters by email and post often the attachment letter does not exist and LAN computer network is often disconnected. In the storage of letters numbering letters often do not order. To improve the procedure of outgoing mail management, the writer suggests some things, namely making the computer data system for the management of the letter, so do not need to search for letters or other data manually, training staff to handle the correct numbering and recording of letters, check each letter will be sent such as number, address, attachment and always LAN mail delivery network control.
